Terms of service

These are the terms you agree to when you use KeepCert. We've kept them short and in plain English. By creating an account, subscribing, or continuing to use the service, you accept them.
KeepCert is a trading name of Jaspal Sagoo, a sole trader based in England ("we", "us", "KeepCert"). When you use KeepCert or take a plan, you are contracting with Jaspal Sagoo. You can contact us at hello@keepcert.co.uk. If you are signing up on behalf of a business, you confirm you have authority to agree to these terms for it; if you are signing up as an individual, you confirm you are 18 or over.
What KeepCert does
KeepCert is a record-keeping and reminder tool for UK landlords. You add your properties and safety certificates, and we track the expiry dates and email you before they run out. You can also store copies of your certificate files.
We do our best to keep the service running and reminders on time, but we can't promise it will never be unavailable or that an email will never be delayed or filtered by your provider. Staying compliant remains your responsibility.
Plans and pricing
Starter covers up to 3 properties and costs £5 a month or £49 a year. Portfolio covers up to 10 properties and costs £15 a month or £149 a year. For larger portfolios we agree Enterprise pricing with you. Full details are on our pricing page.
Paid plans renew automatically until you cancel. We email you 7 days before a renewal with the date and amount. If we change our prices, we'll tell you before the change affects you, and you can cancel if you'd rather not continue.
Payments and our reseller of record
Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.
This means Paddle sells the subscription to you on our behalf and is responsible for checkout, payment, invoicing, VAT and other applicable taxes, subscription billing, refunds and chargebacks. Payment, billing, tax, cancellation and refund mechanics are governed by Paddle's Buyer Terms, which apply to your purchase alongside these terms. Prices are shown in pounds sterling and, where applicable, tax is added or included at checkout depending on your location.
Our intellectual property
KeepCert, including the website, the application, its software and source code, database structure, design, layout, text, graphics, logos and the KeepCert name and branding, is owned by Jaspal Sagoo (or licensed to us) and is protected by copyright, trade mark and other intellectual property rights. Nothing in these terms transfers any of those rights to you.
While your plan is active we grant you a limited, non-exclusive, non-transferable, revocable right to use KeepCert for your own property record-keeping, within the limits of the plan you've chosen. You must not copy, resell, redistribute, sublicense, reverse engineer, scrape or create derivative works from any part of the service, or remove or obscure any proprietary notices, except where the law expressly allows it.
You keep ownership of everything you put into KeepCert — your property records, certificate details and uploaded files. You grant us only the limited permission needed to host, store, back up and display that content so we can provide the service to you.
Cancelling and refunds
You can cancel at any time from Account settings — one click, one confirmation. No need to email us or call anyone.
Cancellation takes effect at the end of your current billing period. You keep your paid features until then, and you aren't billed again afterwards.
We offer a 30-day money-back guarantee on your purchase. Refunds are handled by Paddle, our Merchant of Record. Full details, including how long you have and how to ask, are on our refund policy page.
After cancelling, your data isn't deleted. Everything you've added stays visible, but you won't be able to add new properties until you start a plan again.
Acceptable use
Please don't use KeepCert to:
- Upload fraudulent, forged or altered certificates, or record dates you know to be untrue.
- Store data about properties or people you have no lawful reason to hold.
- Attempt to access another user's account or data, probe our security, or overload the service.
- Upload malware, or anything unlawful or infringing.
Only a Gas Safe registered engineer, qualified electrician or accredited assessor can carry out an inspection and issue a valid certificate. KeepCert simply stores what they give you.
Limitation of liability
KeepCert is a reminder tool. It is not professional compliance advice, legal advice, or a substitute for a real inspection or certification by a qualified professional. You remain responsible for meeting your legal obligations as a landlord.
To the extent the law allows, we aren't liable for fines, penalties, lost rent, enforcement action or other losses arising from a missed, delayed or undelivered reminder, from data you entered incorrectly, or from the service being unavailable. Nothing here limits liability that can't legally be limited, such as for death or personal injury caused by negligence, or for fraud.
Your account
Keep your password to yourself and use a strong one. You're responsible for what happens under your account. Tell us promptly if you think someone else has access.
You can close your account at any time from Account settings, which permanently deletes your properties, certificates and uploaded files. We may suspend or close an account that breaks the acceptable use rules above, doesn't pay for a paid plan, or puts the service or other users at risk. Where it's reasonable to do so, we'll warn you first and give you a chance to export or correct things.
Changes and contact
We may update these terms as the service changes. If a change matters to you, we'll let you know by email or in the app before it takes effect. These terms are governed by the law of England and Wales.
